Program Project Specialist II Job Location: Address: Exceptional Student Services/Early Childhood Special Education Section Phoenix, AZ 85007 Posting Details: Salary: $46,000 - $51,000 Grade: 19 Closing Date: 12/3/23 Job Summary: • Assist the Director and the Education Program Specialists to support the design, development, modification and implementation of program projects statewide • Consult with appropriate personnel regarding program goals, objectives, accountability, and delivery of services • Provide administrative duties for the department • Occasional in-state and rare out-of-state travel is required for this position.
The Arizona Department of Education currently utilizes a hybrid work environment, with up to two days of remote work (contingent upon business needs).
Candidates should apply with an ability and willingness to work in-office up to five days per week as business needs necessitate.
Job Duties: • Design, develop, modify, and/or implement program projects • Monitor and evaluate the procedures of program projects for efficiency and effectiveness • Report on the progress of projects to include state required general supervision efforts, professional development, conference planning/coordination, event management, grants, training events and initiatives • Preparation of notices, guidance, memos, operating procedures, plans, reports, and manuals • Assist in the preparation of responses, proposals, reports, grant applications, preparation of technical assistance documents • Formats materials for accessibility • Update, modify, create materials for public use on the Internet • Coordinate services for meetings, and technical assistance visits with and among state agencies, unit staff and local school district programs • Provide assistance with travel arrangements for director and staff • Process invoices from contractors • Maintain and or monitors database of referrals of students transitioning from early intervention to preschool • Provide information, general direction, technical guidance, and administrative assistance via e-mail, phone calls, letters and representation at meetings for the unit, with state agencies, community organizations and the general public • Coordinate, collaboration, and build relationships with varying Early Childhood Education stakeholders • Update operating procedures, plans and manuals • Other duties as assigned as related to the position Knowledge, Skills & Abilities (KSAs): Knowledge in: • Developmentally appropriate practices in early childhood special education • ESS/ECSE guidance documents such as, but not limited to the Arizona Early Learning Standards; Arizona Infant Toddler Developmental Guidelines; the High Quality Program Guidelines; and AZ Technical Assistance (AZ-TAS) documents, state and federal education rules and regulations • Extensive knowledge database management • Effective strategies of administrative support • Effective customer service strategies Skills in: • Skilled in using software programs to write reports, emails, create presentations, analyze data, track initiatives • Efficiently manage multiple tasks • Attention to detail, including editing documents • Strong interpersonal skills • Reviews and evaluates early childhood special education program activities and projects analytically and to identify effectiveness and suggest improvements • Intermediate to advanced skill in using Microsoft Outlook, Word, and PowerPoint, Excel, and Publisher Ability to: • Prioritize goals • Synthesize data • Establish and maintain effective working relationships • Work in collaboration with a variety of personalities, other agency personnel and the general public • Professionally greet staff and visitors create a welcoming and friendly atmosphere of customer service within the office environment, on virtual calls and meetings with other ADE units, state agencies and the public • Work independently and demonstrate initiative, creativity • Organize, advertise and support statewide training, and monitor attendance Selective Preference(s): Preference will be given to those applicants with: • Experience or background in Early Childhood Special Education or Early Childhood Education • Web publishing experience and other publishing software • Associate Degree or Bachelor Degree Pre-Employment Requirements: Applicants must have a valid Arizona Fingerprint Clearance Card or the ability to obtain one prior to employment start date.
