Executive Assistant to COMMISSIONER LEA MÁRQUEZ PETERSON Job Location: Address: 1200 W.
Washington, Phoenix, AZ 85007 Occasional regional travel may be required.
Posting Details: Hiring Rate: $20 - $25 per hour, depending upon experience Grade: 19 Closing Date: March 3, 2024 Job Summary: This part-time Executive Assistant will provide high-level administrative support to the Commissioner and Senior Policy Advisor.
The main tasks of the executive assistant are handling of office-management duties, making travel arrangements, handling calendar events, organizing reports and documents, answering phone calls, setting up meetings, screening visitors, and other similar duties.
This is a part-time position with some flexibility in scheduling but requires a minimum of 20 hours per week to qualify for benefits.
This position may offer the ability to work a hybrid remote schedule based upon the agency's business needs and continual meeting of expected performance measures.
Job Duties: • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Commissioner’s behalf • Maintaining comprehensive and accurate records • Performing minor bookkeeping duties • Organizing meetings, including scheduling, and sending reminders.
• Answering phone calls in a polite and professional manner • Responding to customer inquiries in a timely manner and referring them to the appropriate division.
• Managing the Commissioner’s calendar, including making appointments and prioritizing the most sensitive matters Knowledge, Skills & Abilities (KSAs): • Interpersonal skills like teamwork, quick decision-making, and more.
• Time management and ability to meet deadlines • Verbal and written communication skills • Strong organizational skills and ability to multitask • Problem-solving and decision making • Proactivity and self-direction Selective Preference(s): 2+ years of high-level executive assistant experience Bachelor's degree in a related field Pre-Employment Requirements: Any offer of employment is contingent upon successful completion of an employment/reference check and confirmation of any degrees/certifications.
