Office Administrator
We are looking for an outgoing and motivated Office Assistant to help with the organization and daily administrative operations of the company.
The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure.
This person will be comfortable working with a high degree of attention to detail as well as incorporating new and effective ways to achieve better results.
Responsibilities
· Answer incoming calls and dispatch information to the appropriate department in a timely and efficient manner.
· Make sure all incoming jobs are accurately entered into all company software programs.
· Relay all new scheduling requests to the operations team.
· Customer Service calls made periodically throughout the process to insure a smooth and informed transition.
· Making scheduling reminders to clients daily.
· Coordinate with other departments and partnering vendors to ensure all information is being obtained in a timely manner.
· Data entry, scanning and filing.
Making new files for client jobs.
· Perform receptionist duties when needed
Skills
· Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
· Working knowledge of office equipment
· Friendly attitude and the drive to help customers.
· Thorough understanding of office management procedures
· Excellent organizational and time management skills
· Analytical abilities and aptitude in problem-solving
· Excellent written and verbal communication skills
· Proficiency in MS Office
· Knowledge in the Insurance Restoration industry, “ICAT” and DASH systems is a plus.
