Status: Full-time, hourly (40 hours/week)
Current Schedule: Monday - Friday, 8:30-5:00 pm (60-minute lunch)

POSITION SUMMARY: The goal of this position is to best assist North&Co.
with running its headquarters as energetically and efficiently as possible.
The North&Co.
headquarters is 9,000 square feet and requires attention to detail, organization, and a taskmaster to keep it functioning smoothly.
The main responsibilities include front desk management, general accounting, and office operations, as well as customer care as it relates to our employees, agents, and the consumers we serve.
This role will work closely with the Director of Development and HR, and our overall support staff.
Additional responsibilities may include support in training and events (on-site and off-site), project management, and administrative assistance to agents and employees.
PRIMARY FUNCTIONS & RESPONSIBILITIES: Reception Opening/Closing Duties Answer office phone and transfer calls Greet people who come into the office and attend to needs accordingly Mail/packages/couriers – collecting, distributing, send emails Order, stock, and maintain office supplies Order, maintain, and stock food and beverages for our facilities (and special in-office events) New agent or employee onboard/off-boarding activities Order agent business cards, yard signs, open house signs, and riders Order employee business cards and business supplies Manage all room reservations, for agents and employees Schedule, set-up and clean-up training and in-office events Manage open house signs check-in and check-out Add/delete agents from the Brokerage Roster and third-party software as needed Manage all incoming agent inquiries – receive, distribute, log, and follow up Concierge Coordinator, as needed for agents, employees, and clients Assist the Director of Development and HR with projects as needed Check/stock bathrooms, kitchen, and beverage stations Light accounting task support Light marketing administrative task support Customer Service Coordinator Assist other support team members with projects as needed Identify ways to improve the overall consumer experience of the front desk Identify ways to create concierge benefits, based on agent and employee needs QUALIFICATIONS: Skills & Abilities: Must have a patient and outgoing personality Must possess a high level of customer service Must be able to prioritize and organize a daily checklist of reception and office responsibilities Must be a self-starter, with a strong ability to manage projects and deadlines Must possess a flexible work style, with a strong sense of customer care and follow through Requires a professional demeanor with staff, and adherence to a strict level of confidentiality Must be organized, detail-oriented, and able to work as a team player Ability to prioritize and complete projects accurately and effectively Ability to work with multiple people and projects at one time Ability to comprehend and carry out instructions Ability to read, write, speak, and hear English A high degree of accuracy and attention to detail Data entry skills Must be able to prioritize and organize a list of tasks & responsibilities Proficient in Microsoft apps: specifically Excel & Word Proficient in Google apps: specifically Gmail & PowerPoint Proficient in Adobe Creative Suite is a plus Familiar with Citrix Podio is a plus Experience & Education: Ideal Candidate has a minimum of two years of experience as a receptionist, administrator, or office assistant Excellence Customer Service Skills Physical Requirements: Requires ability to bend, stoop, lift, and carry items up to 25 pounds Requires the ability to sit at a desk for long periods Requires the ability to stand for a long period Disclaimer: These requirements are representative, but not all-inclusive, of the responsibilities, knowledge, and ability required for this position.
