Overview:
The job holder will provide assistance and administrative support to the Commercial Leadership Team based in North America.
Roles & Responsibilities:
Manage customer meetings and conferences including the planning of budgets, booking of venues and organization of agendas
Arrange off-site meetings, business events, management and leadership meetings and logistical arrangements for overseas colleagues
Calendar management for Commercial Leadership Team, including interaction with senior leadership representation for our customers
Travel and Expenses management according to policies
Manage and organize confidential files and information on behalf of the Commercial Leadership Team
Support the on-boarding and off-boarding of Commercial employees
Update the functional Organization Charts on a periodic basis and communicate to the global organization
Procurement for Commercial function
Conduit to corporate admin to implement admin policies for the Commercial function
Support annual business planning and budgeting on a periodic basis
Administer recognition and reward protocols within the Commercial function
Work with the marketing team in the organization of events where appropriate
Provide administrative support during key internal engagements, action taking, minutes and time keeping
Key Results Areas:
Seamless management of business meetings, travel schedules and compliance to Admin Policies.
Timely and complete updates of analysis to support Commercial Function including Marketing Initiatives
Effective operational, administrative and communication support to the Commercial Leadership Team in NAM
Requirements:
Minimum 5 years of executive assistance experience and familiarity with administrative duties.
IT savvy and competent in Microsoft Office Programs
Ability to engage and communicate with Senior Level and Exec Management
Creative, eager to bring new ideas forward and suggest more efficient ways to operate/execute in order to achieve desired results.
Previous multinational corporate work experience/exposure desirable
Candidates must be within 250 miles of an APL Logistics facility or office.
The typical salary range for this position is: $57,540 - $100,000.
The actual salary offer will take into account multiple factors including skills, experience, education and location.
