Under general supervision, the Institute Of Human Origins (IHO) Coordinator provides professional and general administrative support to IHO staff, faculty, and students.
Key areas of responsibility include purchasing and accounting activities, coordinating department travel, donor and administrative correspondence, and scheduling assistance and related functions.

Salary Range $48,000 per year; DOE Close Date 12-January-2024 Category 02 Essential Duties Serves as a member of the IHO staff and supports administration, faculty, and students Routinely interacts with individuals at all levels of the ASU Foundation, Enterprise Partners, and the University Serves as a front-line point of contact for IHO, screens telephone calls and on-site visitors to resolve routine inquiries and provide guided tours as needed Distributes department mail and parcels and coordinates signing of documents as directed Schedules in-person and virtual meetings coordinating logistics for internal and external stakeholders Provides administrative travel support to staff, faculty and students using the ASU Concur travel system; including organizing itineraries, securing reservations and processing reconciliations in accordance with ASU travel policy and procedures Performs purchasing and inventory tasks to procure and track research and operational equipment and supplies using the ASU Workday systems; including petty cash fund management, Sunrise and direct vendor procurement processes and inventory distribution to end-users in accordance with ASU fiscal and purchasing policy Provides basic bookkeeping and budgetary support, pays invoices, prepares account reports and reconciliations, and cash handling Provides administrative support for IHO membership program; including product inventory support and tracking, merchandise distribution and mailing, and event logistics support Provides administrative support for department donor activities using the ASU Foundation Workday and Salesforce systems; including facilitating deposits, preparing account reports, and maintaining contact information and donor correspondence Stays current on organizational policies and procedures that directly impact role, department, and organizational success Maintains a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential prospect information Takes initiative and consistently responds to changing situations in a flexible manner to meet the current needs of the department Prioritizes workload to meet evolving priorities Maintains an orderly filing system, primarily electronic files Minimum Qualifications Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications Experience in using organization and prioritization skills Ability to balance multiple issues in a fast-paced, higher education research center, with a high attention to detail and thoroughness in completing assigned tasks Evidence of effective interpersonal, written, and verbal communication skills Experience in using a high degree of discretion, judgement, tact, and poise Ability to make independent judgements and coordinate office details in conjunction with policies and procedures Evidence of a collaborative style coupled with an ability to work both independently and as part of a team, with little supervision Skill in accounting and budgeting procedures and technique and web-based financial systems Experience in using computer skills in a variety of PC and Mac computer programs and technical proficiency in Microsoft Word, Excel, and PowerPoint Basic knowledge of web design; including Photoshop proficiency and website design experience Knowledge of office and administrative practices and principles Working Environment Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
Required to stand for varying lengths of time and walk moderate distances to perform work.
May require bending, reaching, lifting, pushing and pulling up to 25 pounds.
Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
Ability to clearly communicate to perform essential functions.
