The Office of University Affairs is seeking a highly motivated and engaging Business Operations Manager, (BOM) to coordinate business operations in a fast‐paced and complex department working with and as part of the Executive Administration Business Office team.
This position manages a broad range of responsibilities with a strong focus on post award grant activities.

Continuation is contingent on future grant funding.
Salary Range $65,000-$72,000 per year; DOE Close Date 27-March-2024 Category 03 Essential Duties Serve as the business office liaison to assigned units within The Office of University and Executive Administration, partnering to facilitate proper handling of financial and payroll transactions, approve transactions within designated limits, review charges for compliance with ASU and sponsoring agency/contract conditions and requirements ensuring expenses are allowable on funding source and appropriate backup documentation is secured.
Work independently and exercise professional judgement to serve as a knowledgeable resource regarding fiscal policies and procedures related to specific grants; maintain exceptional knowledge of ASU practices and policies in order to provide guidance to internal and external stakeholders.
Manage a variety of account expenditures; review documentation for accuracy and compliance; maintain and reconcile detailed budgets for various accounts; advise and/or determine which expenditures are within the budget guidelines; inform management of irregularities and proceed with corrective action.
Initiate a variety of actions in the financial system ensuring accuracy and completion including requisitions, expense transfers, journals, and internal service delivery payments.
Coordinate a variety of pre and post‐award grant activities in accordance with grant/sponsor/ASU/ASUF requirements such as budget preparation and review, ORPSA engagement, account monitoring and expense forecasting, subcontracting, cost share tracking, re‐budgets, no cost extensions, and financial reporting.
Respond to inquiries in a timely manner using effective interpersonal communication, critical thinking, and problem‐solving skills and methods as appropriate to address questions and/or concerns.
Organize and/or prepare departmental administrative and financial reports; analyze, summarize and interpret information; recommend action to be taken.
Work under deadline, manage multiple responsibilities and duties, while navigating interruptions and unclear and/or changing situations.
Stay abreast of changing internal & external policies, procedures, and other guiding principles associated with grants to build breadth and depth of knowledge.
Coordinate or assume other duties or projects as assigned or directed.
Minimum Qualifications Bachelor's degree in a related field and six (6) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Ten (10) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications Experience using ASU enterprise systems including Workday for financial, budgeting and forecasting; Peoplesoft for human resources; PaymentNet for PCard; Enterprise Research Administration (ERA) for grants management.
Experience with accounting, forecasting, purchasing cards, budgeting practices and principles, and research advancement (grants management/support) in a higher education environment.
Demonstrated knowledge of policies, procedures and requirements of applicable regulations governing management of grants, such as federal, state, foundation, and industry.
Experience being a problem‐solver who takes initiative, manages workloads effectively, and sets priorities while being flexible.
Experience in building strong relationships and ability to influence without authority.
Evidence of strong attention to detail.
Evidence of effective communication skills in public and interpersonal settings, and a high‐level of customer service.
Experience working successfully in a fast‐paced, deadline‐driven environment, both independently and as a member of a team.
Experience in creating detailed and complex numerical computations and spreadsheets within Excel and/or Google Sheets for reporting purposes.
Experience in preparing and analyzing complex numerical computations, financial models, forecasts, and comprehensive reports.
Working Environment Activities are performed in an environmentally controlled office setting, subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
Regular activities require ability to quickly change priorities which may include and/or subject to resolution of conflicts.
Ability to clearly communicate to perform essential functions Use of critical thinking to make decisions and/or analyze and report data/results.
Infrequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
Flexible Work Options This position is eligible for Hybrid work—an arrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location.
