will provide administrative support, coordination, information, and maintain office workflow for the Student Life & Leadership Department across two campuses.
The position is the first point of contact to internal and external customers and will be responsible for providing top notch customer service when routing phone calls, emails, and visitors to the appropriate areas at CGCC.
This position supports multiple programs in the department with administrative tasks and coordination such as supporting events, vendors, students, faculty, and community requests.
Essential Functions 35%: Administrative office support activities including: preparing and maintaining schedules, note taking, answering and routing calls, coordinating calendars, event support, budget/purchasing support, making travel arrangements, gathering information, oversees the maintenance of files, records, database information and documentation related to assigned area and according to established procedures, researching, gathering, compiling and reviewing data and information in support of assigned function, program, project or support area.
Designs and formats complex documents; composes original documents, correspondence and presentations.
Coordinating all office workflow for Student Life and Leadership department.
25% Provides high levels of customer service and communication to internal and external resources regarding policy/procedural, event or program information (e.
g.
petition, voting, club, program information etc.
).
Receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resources.
20% Hires, trains, leads and assigns and monitors the part time front desk staff 15%: Knowledgeable and provides technical assistance for the Student Life and Leadership department and campus technologies 5%: Other Duties as assigned Minimum Qualifications Associate's Degree from a regionally accredited institution and two (2) full-time equivalent years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
OR High School Diploma or GED (No Substitution) and four (4) full-time equivalent years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
Desired Qualifications Experience with administrative office support and office coordination practices in Higher Education or related field Examples of high level customer service experience Evidence in supporting multiple programs and/or departments Proficient in multiple office technologies provide examples Evidence of event coordination, support, and leadership Evidence of how you have supported students, staff, faculty, and community members Bachelor's Degree Special Working Conditions Driver's License: Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: https://www.
