Position Summary Responsible for the oversight and management of the company's Payroll Tax Manager, Operations function which includes tax return processing, daily liability payments, tax system and account maintenance Essential Duties and Responsibilities Manage, train and develop staff responsible for processing tax payments and return processing to produce high quality work Manage the day-to-day processing and analysis of federal, state and local tax return filings and liability payments Ensure accurate and timely preparation, balancing, processing of payroll tax liabilities Oversee and approve tax return and payment processes Review and correct daily and quarterly tax import process from payroll system to MasterTax system Ensure new client tax bulk filing, TPA access, ACH credit, EFTPS is setup timely and accurately Evaluate and approve 940 and 941 detailed tax reconciliations to ensure accurate tax return processing Ensure timely updating of tax data in the corresponding Payroll systems and MasterTax system Oversee annual unemployment rate maintenance to MasterTax system and Payroll systems Proactively prevent penalty and non-filing tax notices by ensuring accuracy and deadlines are met Manage tax amendment processing within MasterTax system Create internal audits and controls to ensure timely and accurate processing of liability payments and tax return processing Partner with Quality team to evaluate audit findings for updates in tax reporting processing Analyze new tax laws, regulations, reporting requirements and implement the required changes Continuously develop and update tax processes as new clients and division partners are acquired and transitioned Ensure accurate processing of by providing tax guidelines with documentation and training Analyze tax metrics to identify and evaluate reporting fluctuations Monitor case management system to ensure cases are resolved accurately and meet established service level agreements Determine changes and improvements needed to current workflows and processes Serve as subject matter expert and utilize knowledge of tax function to strategically problem solving and decision making Develop systems or processes to eliminate manual processes including reconciliations Support and lead special projects as needed in support of the payroll tax function Evaluate current processes and workflows to make improvements or updates Assist team with escalations and issue resolution Coordinate and partner with tax leaders to strategize on tax matters Involved in extensive planning for year-end processing Maintain professional and technical payroll tax knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional organizations Knowledge, Skills, and Abilities Strong leadership skills to coach, mentor and provide development to team members Demonstrated ability to manage large projects Ability to multi-task, use independent judgment and sound decision-making skills, and can work independently with minimal management oversight Strong technical, analytical, organization and research skills with a proactive results-oriented approach Intermediate to advanced Excel skills Identify and implement opportunities for process improvement and potential areas of risk Ensure team maintains a high level of accuracy in performing all essential duties Excellent verbal and written communication skills Ability to interpret and analyze complex tax data, make determinations free from immediate direction, and ensure that payroll taxes are appropriately processed Able to manage multiple priorities, make decisions and take initiative while staying focused on results and the performance objectives of this role Education & Experience Minimum of four years multi-state, multi-jurisdiction and high-volume Payroll Tax experience Minimum of two years of management experience required Professional Employer Organization (PEO) or related industry experience preferred Prism/HRP and MasterTax system experience preferred Hands-on leadership with strong payroll tax knowledge including federal, state and local taxes In depth knowledge of all payroll tax processes including tax return processing, W2/Year end processing and tax notice resolution Hands on tax processing experience
