Position Summary: Under the direction of the Facilities Director, provide direction and management of department staff and volunteer drivers for campus-wide transportation service; schedule medical and non-medical transportation needs for residents, including daily logistics and dispatching for picking residents up from appointments in a timely and cost-efficient way.
Manage the vehicle fleet (“Fleet”) including all Royal Oak’s owned passenger vehicles and golf carts.
Serve as a representative of Royal Oaks, demonstrating a positive attitude and progressive actions through the display of professionalism, courtesy, and appropriate tact and discretion in all interactions with all residents and co-workers.
Major Duties and Responsibilities: Direct, manage and provide leadership for the transportation staff and volunteer drivers (residents and non-residents) for the purpose of providing transportation service on campus as needed, especially for special events.
Responsible to draft and maintain the department policies and procedures.
Train the transportation staff to these policies and procedures and keep all Royal Oaks staff members and residents updated.
Create and manage the daily schedule of medical appointments, shopping trips, activities and other appointments.
Collaborate with other departments to organize their transportation needs.
Schedule transportation that reflects the safest and most efficient way of accommodating residents in a timely manner and making the most efficient use of fleet and driver resources.
Dispatch drivers throughout the day in accordance with the daily schedule while ensuring the timely completion of all trips.
Respond to, investigate and report incidents and accidents.
Ensure all drivers comply with in-services, logs, training and licensing.
Staffing: Hires, trains, develops schedules and disciplines staff members, capable of maintaining the established guidelines for transportation service standards.
Maintains and administers personnel policies and procedures.
Develop and maintain a high level of staff morale, a low turnover rate and staff member motivation through daily meetings and a consistently firm but fair system of discipline.
Monitor staff member payroll input for proper allocation of regular time, overtime and requested time off.
Seek to minimize labor and overtime costs.
Approves time for staff and self bi-weekly.
Coordinate the development of the department budget, including compilation of departmental requests and income projections, preparation of final budget documents for the Facility Director and CFOs approval, and on-going budget monitoring and reporting.
Annually obtain approval from the CFO on all contractual agreement with vendors.
Provide objective, relevant, reliable and timely reports that assist the Facility Director in analyzing data to aid in the decision-making process.
Provide prompt approval and submission from vendors for payment to the accounting department that include legible quantities, descriptions, pricing and cost coding.
Attend and participate in staff training activities, seminars, and meetings.
Develop and maintain spreadsheets related to the fleet, including but not limited to: a) keeping track of the number of trips made by each day and the purpose for those trips; b) mileage and fuel usage; c) vehicle maintenance records; d) number of trips outside the 10 miles radius; and e) records of charges for trips outside the 10-mile radius and relaying charges to accounting department on a weekly basis.
Maintain fleet maintenance logs, timely registration and licensing renewals.
Schedule regular and routine fleet maintenance including repairs and maintaining the physical appearance/cleanliness.
Maintains fleet so as to identify any deficiencies such as equipment problems, need for repair or special needs of residents.
Recommend any needed changes/repairs to the Director of Facilities for approval/discussion.
Address problems and conflicts in a professional and effective manner with department staff and supervised volunteers, allowing for opportunities of learning and growth, and facilitating such opportunities in a respectful manner.
Maintain the comfort, privacy, confidentiality and dignity of each resident in the delivery of services.
Interact with residents in a manner that displays warmth and promotes a caring environment.
Implement and enforce transportation policies while retaining customer (resident and employee) focused service.
Understand residents’ rights, including the right to be free of restraints and free of abuse.
Is responsible for promptly reporting to the Director of Health Services or President/ Chief Executive Officer (CEO) incidents or evidence of resident abuse or a violation of residents’ rights.
Communicates and interacts effectively and tactfully with residents, visitors, families, and co-workers.
Direct and assist in maintaining a safe, neat, and clean environment in the transportation office and throughout the Fleet.
Performs all job responsibilities in accordance with prescribed safety and infection control procedures, including thorough hand washing, use of disposable gloves and other personal protective equipment where indicated, and proper disposal of soiled materials.
May perform other duties as assigned.
Knowledge and Skills: Must be 21 years of age.
Work experience with a proven track record in scheduling and managing others.
Ability to read, understand, follow and enforces safety procedures, read maps including electronic mapping and locate addresses.
Follow written and oral instructions.
Has a clear understanding of profit and loss reports.
Has computer proficiency- Microsoft Word/Excel, Outlook, Internet Is organized, able to multi-task, think creatively and adapt to different situations.
Education and Experience: Must have High School diploma or GED equivalent.
Preferably a two-year degree from an accredited college or university.
Three years of progressive responsibility in fleet operations and supervisory responsibilities; or a combination of education, training and experience that would ensure the effective execution of the duties of the job.
Has CPR, First Aid and fingerprint clearance card or can obtain one within 30 days of hire.
Ensures competency in the position is maintained through continuing education.
Communication Skills: Has a clear speaking voice and is fluent in English.
Able to read, speak, work, and interface with all levels of co-workers, residents, guests, and employees.
Demonstrates excellent customer service etiquette.
Physical Requirements: Has current valid Arizona Driver’s license and a good driving record.
Arizona Driver's CDL with Passenger (P) endorsement preferred but not required.
Can work alone most of the time.
Is able to stand, walk, sit, reach, and bend.
Is able to operate a fire extinguisher.
Must be able to hear normal to raised voices and see 50 feet; prosthetics can be used for correction.
Reaction time - The ability to quickly respond (with hand, finger, or foot) to one signal (sound, light, picture, etc.
) when it appears.
